A hospitality group known for their highly creative and eclectic interiors are in looking for a Procurement Coordinator to join their London studio to work closely with the design team in delivering 9 projects internationally this year.

This international hospitality group is entering an exciting period of growth with expanding its brand into new continents. The London studio is looking to bring on an experience procurement coordinator to assist the Head of Procurement with coordination, logistics and delivery across all projects.

This dynamic position is ideal for someone diligent, hardworking, precise, and adept with both numbers and interpersonal skills. The successful candidate would have acquired experience in the 360 procurement process, including dealing with the administration for importing and exporting shipments and customs. Working across interior design projects i essential and experience within hospitality is of particular interest. It calls for someone who can multi-task and manage workload and meeting deadlines.

In addition to offering a competitive package and an energetic studio environment in central London, this role allows for travel to all project sites.

Key Responsibilities
  • Process FF&E & Construction orders and handle invoicing in collaboration with Suppliers, Design, Construction, and Finance teams
  • Manage shipping logistics for the UK and internationally, including document creation and import/export procedures. Research local import regulations
  • Coordinate FF&E installations with contractors and the Design team, addressing snagging or delivery issues
  • Maintain precise schedules, budgets, and timelines for an optimised supply chain
  • Organise project cash flow and payment run with accounting teams
  • Reconcile expenditures with Quantity Surveyor cost reports and Finance team, closing project accounts and reconciling VAT invoices
  • Assist the design team in setting up supplier trade accounts
  • Source FF&E or Construction requirements, collaborating with Designers and Suppliers
  • Save and record all certification, including relevant FR documents
  • Keep the supplier reference book and contact list up-to-date
  • Maintain the Studio office and UK storage facility, ensuring tidiness and updating the inventory
Skills and Experience
  • Eligibility to work in the UK
  • Prior experience in end-to-end procurement for interior design projects, with a preference for international or hospitality project experience
  • Proficiency in Excel, Microsoft Office, and Google Documents
  • Strong understanding of procurement and logistics processes and associated costs
  • Knowledgeable about FF&E materials, quantities, and suppliers
  • Detail-oriented with strong analytical skills
  • Pragmatic and adept at problem-solving
  • Proactive planner with the ability to consider alternative solutions (Plan B, C, and D)
  • Excellent communication and negotiation skills
  • Demonstrates good initiative and the ability to follow instructions
  • Team player with a positive attitude
